Privacy Policy

BookEzy Travel respects your privacy and is committed to protecting the personal information entrusted to us.

This Privacy Policy explains how BookEzy Travel (“BookEzy Travel”, “we”, “us” or “our”) collects, holds, uses and discloses personal information when providing travel-related services.

1. Our Commitment to Your Privacy

BookEzy Travel handles personal information with care and is committed to complying with applicable Australian privacy laws, including the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs) and the Notifiable Data Breaches scheme, to the extent those laws and requirements apply to our business.

We collect only personal information that is reasonably necessary for our business activities and the travel services you request. Where it is lawful and practicable to do so, you may deal with us anonymously or by using a pseudonym; however, identification will generally be necessary where we are arranging or managing travel services on your behalf.

2. Personal Information We May Collect

Depending on the travel services you request, we may collect and hold personal information including:

  • full name
  • residential or postal address
  • email address
  • telephone number
  • date of birth
  • gender or title where required for travel arrangements

  • visa and immigration information
  • frequent flyer and loyalty program numbers
  • travel preferences
  • flight, accommodation, cruise, tour, transfer and other itinerary information
  • emergency contact information
  • information about other travellers included in your booking
  • payment and transaction information
  • travel insurance information
  • dietary, accessibility, medical or special-assistance information where relevant to your travel arrangements
  • other information reasonably necessary to arrange or manage your travel

Some information required to arrange travel may be sensitive information under Australian privacy law. Where required by applicable law, we will obtain your consent or otherwise handle that information as permitted by law.

3. How We Collect Personal Information

We may collect personal information when you:

  • submit an enquiry through our website
  • contact us by telephone, email or another communication method
  • request a quotation
  • make or enquire about a booking
  • complete a traveller information form
  • purchase or enquire about travel insurance
  • request a change, cancellation, refund or credit

We generally collect personal information directly from you. We may also receive information from another traveller making a booking on your behalf, travel suppliers, wholesalers, airlines, consolidators, insurers, technology providers, reservation systems or other organisations involved in your travel arrangements.

If you provide personal information about another person, you must be authorised to provide it and, where appropriate, ensure that person is aware that their information may be handled in accordance with this Privacy Policy.

4. Why We Collect, Hold, Use and Disclose Personal Information

We may collect, hold, use and disclose personal information for purposes including:

  • preparing travel quotations
  • making and managing travel reservations
  • booking flights, accommodation, cruises, tours, transfers, car hire, rail and other travel services
  • issuing or facilitating travel documentation
  • processing or facilitating payments

  • preventing or investigating suspected fraud, misuse, security incidents or unlawful activity
  • sending marketing communications where permitted by law

5. When We Disclose Personal Information

To arrange and manage your travel, BookEzy Travel may need to disclose relevant personal information to third parties, including:

  • airlines
  • hotels and accommodation providers
  • cruise lines
  • tour operators
  • travel wholesalers
  • ticketing and consolidator partners
  • ground transport and transfer companies
  • car rental providers

  • technology, hosting and software service providers
  • professional advisers
  • government, border, immigration, law-enforcement or regulatory authorities where required or authorised by law

We seek to disclose only the information reasonably necessary for the relevant purpose.

6. Overseas Disclosure

International travel necessarily involves organisations located outside Australia. When arranging international travel, your personal information may be disclosed to overseas recipients, including airlines, hotels, cruise lines, tour operators, wholesalers, reservation systems, ground operators and other travel service providers.

The countries involved will depend on your destination, transit points, chosen suppliers and travel arrangements. Because BookEzy Travel may arrange travel worldwide and may use international travel-industry systems and suppliers, it may not be practicable to identify every country in which an overseas recipient is likely to be located before your itinerary and suppliers are determined.

Where Australian privacy law applies to BookEzy Travel, we will take reasonable steps in relation to overseas disclosures as required by that law.

7. Passport and Identification Information

Travel bookings frequently require passport and identification information. Where required for your booking, BookEzy Travel may collect, hold, use and disclose this information to make reservations, issue or facilitate tickets, arrange visas or other travel services, and communicate with relevant travel suppliers or authorities.

Passport and identification information will be used or disclosed only for legitimate business, travel or legal purposes. Wherever practicable, we encourage you to provide this information using the secure method nominated by BookEzy Travel rather than through an unsecured communication channel.

8. Payment Information

BookEzy Travel may use third-party payment providers to facilitate customer payments. Where a payment is processed through a third-party provider, payment information may be collected and processed directly by that provider and will also be subject to the provider’s privacy and security practices.

BookEzy Travel does not intentionally retain complete payment-card security information where it is not necessary to do so. You should not send complete credit or debit card details, including card security codes, by unsecured email. Use only a secure payment method or other approved secure method nominated by BookEzy Travel.

9. Security of Personal Information

BookEzy Travel takes reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure.

Depending on the information and systems involved, these measures may include password protection, access controls, secure travel-industry systems, reputable service providers, security software and appropriate business procedures. However, no method of electronic transmission or storage can be guaranteed to be completely secure.

10. Retention of Personal Information

BookEzy Travel retains personal information for as long as reasonably necessary for the purpose for which it was collected and to satisfy applicable legal, taxation, accounting, dispute-resolution and business recordkeeping requirements.

When personal information is no longer required and there is no legal obligation or other lawful reason to retain it, we will take reasonable steps to securely destroy or de-identify it, where appropriate.

11. Website, Cookies and Technical Information

The BookEzy Travel website may use cookies or similar technologies to help the website operate, understand website usage, maintain security and improve the user experience. Cookies are small data files stored on your device or browser.

Depending on how our website is configured, third-party hosting, analytics, security or other service providers may process technical information such as your IP address, browser information, device information and website activity.

You can generally control cookies through your browser settings, although disabling certain cookies may affect website functionality.

12. Website Enquiry Forms

Information submitted through a BookEzy Travel website enquiry form will be used to respond to your enquiry and, where requested, prepare or arrange travel services.

Please do not enter unnecessary sensitive information, passport numbers or payment-card details into a general website enquiry form unless the form specifically requests that information and provides an appropriate secure method for submitting it.

13. Direct Marketing

Where permitted by law, BookEzy Travel may use your contact information to provide information about travel offers, destinations, services or promotions that may be relevant to you. Electronic commercial messages will be sent only where the applicable consent and identification requirements are satisfied.

Marketing emails and SMS messages will include an appropriate unsubscribe or opt-out facility where required by law. We will action valid unsubscribe requests within the period required by applicable law. Opting out of marketing will not prevent us from sending communications necessary to manage an existing enquiry, booking or travel service.

14. Accessing Your Personal Information

You may request access to personal information BookEzy Travel holds about you by contacting us using the details in Section 21. We may ask you to verify your identity before providing access.

We will respond within a reasonable period and in accordance with applicable privacy law. In some circumstances, access may be refused or limited where permitted or required by law. If this occurs, we will provide the reasons where required.

15. Correcting Your Personal Information

BookEzy Travel takes reasonable steps to ensure that personal information used for travel arrangements is accurate, up to date, complete and relevant.

You may ask us to correct personal information we hold about you by contacting us using the details in Section 21. You should notify us promptly if your information changes or you believe it is incorrect, particularly traveller names, passport information and contact details.

16. Children and Other Travellers

Where travel is arranged for a child or another person, personal information may be provided by their parent, guardian, travelling companion or another person authorised to make the booking.

We will use and disclose that information only as reasonably necessary to arrange and manage the relevant travel services and for other purposes permitted by law.

17. Third-Party Websites

The BookEzy Travel website may contain links to websites operated by third parties, including airlines, travel suppliers, government agencies, visa services, insurers and other travel-related organisations.

BookEzy Travel is not responsible for the privacy practices or content of independent third-party websites. We recommend reviewing the privacy policy of any external website before providing personal information.

18. Data Breaches

If BookEzy Travel becomes aware of, or suspects, a data breach involving personal information, we will assess the circumstances, take reasonable steps to contain and remediate the incident, and take other action required by applicable Australian law.

Where the Notifiable Data Breaches scheme applies and an eligible data breach has occurred, BookEzy Travel will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by law. An eligible data breach generally involves unauthorised access to, disclosure of, or loss of personal information that is likely to result in serious harm and where remedial action has not prevented that likely risk.

19. Privacy Complaints

If you have a concern or complaint about how BookEzy Travel has handled your personal information, please contact us using the details in Section 21 and provide enough information for us to understand and investigate your concern.

We will acknowledge and investigate privacy complaints within a reasonable period and will endeavour to provide a response within 30 days. If more time is reasonably required because of the complexity of the matter, we will endeavour to keep you informed.

If you are not satisfied with our response and applicable Australian privacy law gives you the right to escalate the matter, you may contact the Office of the Australian Information Commissioner (OAIC).

20. Changes to This Privacy Policy

BookEzy Travel may update this Privacy Policy from time to time to reflect changes to our business, technology, suppliers, legal obligations or privacy practices.

The current version, including its effective date, will be made available on the BookEzy Travel website.
